HighLevel · Booking Calendars

A booking system that fills your calendar while you work.

An online booking calendar lets customers pick a time on your own page — it’s booked, you both get a confirmation, and the follow-up runs itself.

A single call, a packed class, a multi-person panel, or a full menu of paid services — there’s a calendar shape for it, it wears your brand, and it never double-books. Here’s what we could build for you.

What is an online booking calendar?

It’s a page where a customer picks a time that works for them — and it’s booked on the spot. They choose a slot, you both get a confirmation, and the appointment lands on your calendar without a single phone call or email back-and-forth.

The important part: it isn’t a standalone widget bolted onto your site. It’s tied into the rest of your business — your contacts, your reminders, your follow-up — so one booking sets everything else in motion.

And there isn’t just one kind. Whatever your business books — a private consult, a public seminar, a team meeting, a class, a panel, or a full menu of services — there’s a calendar shape made for it.

The one idea to hold onto

Whatever you need to book, there’s a calendar shape for it — it wears your brand, it never double-books, and it runs your follow-up automatically.

Why businesses use one

What it actually buys you.

Fill your calendar 24/7

Customers book themselves, day or night, without ever calling.

Stop no-shows

Deposits at booking and automatic reminders mean people actually show up.

Never double-book

Real availability and two-way calendar sync keep every slot honest.

Look established

A polished booking page in your colors, your logo, on your own domain.

One page for any booking

One-on-one, teams, classes, panels, or a full service menu.

Follow-up on autopilot

Every booking flows into your contacts, pipeline, and reminders automatically.

Pick the calendar that fits how you book

Six shapes, one system.

Different businesses book differently. Here’s the full range we can build — mix them as your business needs.

Calendar type

One-on-One

A personal booking page for time directly with one person.

Best for: consultants, coaches, advisors, solo providers.
Calendar type

Event

A host-less page for public events — people register for the event itself.

Best for: conferences, seminars, expos, workshops, public sessions.
Calendar type

Team (Round Robin)

One link for the whole team — each booking goes to whoever’s free, spread evenly so no one’s overloaded. Customers can optionally pick a preferred person.

Best for: sales teams and any shop with two or more people taking appointments.
Calendar type

Class

One host, many attendees — set how many seats each session holds (up to 9,999).

Best for: webinars, workshops, trainings, fitness or group classes.
Calendar type

Panel (Collective)

Several people who must all be free for the slot to be offered — one lead owner runs it. Up to 100 people on the calendar.

Best for: co-hosted sales calls, technical demos, interviews, executive panels.
Calendar type

Services

A full menu of bookable services with options and extras. (Much more in the service showcase below.)

Best for: salons, spas, clinics, studios, and any multi-service business.
Make it unmistakably yours

It’s your booking page — not a generic widget.

Your colors
One main color flows through the buttons, dates, and time slots; a background color sets the tone for the whole page.
Your wording
The booking button says whatever fits — “Book now,” “Schedule my visit,” “Reserve my seat.”
Your look, uncluttered
Hide the details you don’t want shown and drop your logo in — or leave it off.
Your forms
Add your own intake questions so you have what you need before the appointment.
Preview before it’s live
See exactly what your customers will see before anything goes out.

Everything a booking can do for you

The parts that keep it running.

Under every booking page is a set of capabilities we shape to fit how you actually work.

Show only real openings

Availability follows your working hours, with date exceptions for holidays and one-offs — customers only see times you can actually take.

Protect your time

Buffers before and after appointments, a minimum notice so nothing’s booked last-minute, and a daily cap on bookings.

Take payment at booking

Collect a deposit or the full amount in your currency — so the calendar fills with committed customers, not no-shows.

Meet anywhere

Automatic video links (Zoom, Google Meet, Microsoft Teams), phone, or an in-person address — with support for multiple locations.

Never double-book

Two-way sync with Google and Outlook — a personal event on someone’s phone blocks that time on the public page automatically.

Book from anywhere online

Share a link, drop the calendar onto your own website, or send a private one-time link — you can even surface bookings through Google.

Confirmations & reminders

Automatic confirmation and reminder messages that cut no-shows.

Cancellation & reschedule handled

Let customers reschedule or cancel within the policy you set.

Three booking setups we could build for you

Three setups, one system.

The same pieces arrange into very different booking systems. Here are three — pick the shape that fits you.

01

The Solo & Public Booking Page

Best for: solo professionals and anyone running public events.

A branded page where clients book time directly with you — or register for a seminar or workshop with no host tied to it.

Your branded page One-on-one or Event Pick a real opening Deposit & confirmed
What it shows off

The one-on-one and event calendar types · the fully branded page (colors, button text, hidden details, logo) · showing only real openings from your working hours · taking a deposit at booking · two-way Google/Outlook sync so you’re never double-booked · instant confirmations and reminders · and sharing by link or embedding on your own site.

02

The Team That Shares Bookings

Best for: sales teams and meetings that need more than one person.

One link routes each new booking to whoever’s free — and for meetings that need several people, the page only offers times when everyone’s available.

Team or Panel Only-when-free times Right person assigned + pipeline
What it shows off

The Team (Round Robin) type — even, automatic distribution, with an optional “pick your preferred person” · the Panel (Collective) type — all hosts confirmed, one lead owner, up to 100 people on the calendar · automatic video links (Zoom / Meet / Teams) · conflict-checking against everyone’s connected calendars · and the automation payoff — new bookings drop into the pipeline and the right person is assigned.

03

The Service-Business Booking Engine

Best for: salons, spas, clinics, studios, trainers — any multi-service business.

A full menu of bookable services with options, extras, and paid deposits — plus group classes with limited seats.

Services or Class Add extras, see price Pay & booked
What it shows off

The Services type — multiple services, variations (e.g. 30/45/60-minute or tiered options at different prices), add-ons the customer can tack on with quantities, staff-specific pricing, resources so a room or chair is never double-booked, categories, coupons, taxes, deposits, and gift cards, and booking several services in one checkout · the Class type — one host, many attendees, seats per session up to 9,999 · realistic buffers and in-service processing time · a consent checkbox for compliance · and a clear cancellation / reschedule policy.

The honest part

The branded look uses the newer “Neo” style and doesn’t apply to the combined service-menu view; a paid service can be edited freely until it’s paid, after which big structural changes lock; and taking payment on mobile service bookings isn’t supported yet. Nothing that changes the everyday booking experience — but worth saying plainly.

It doesn’t stop at the booking

It runs your follow-up automatically.

Because the calendar is part of the whole system, a single booking sets off the rest: the customer is saved to your contacts, confirmation and reminders go out, they’re moved along your sales pipeline as they book, confirm, or show, the right staff member is assigned, and a follow-up sequence can begin — texts, emails, review requests. Book one service or several, the follow-up fires cleanly.

It can even take the booking for you

AI can handle the booking by phone or chat — so the appointment lands on your calendar and everything around it happens on its own.

Good to know

The honest details.

Branding scope
The branded look uses the newer “Neo” style, and doesn’t apply to the combined service-menu view.
Event calendars
Host-less event calendars use a fixed video link you paste in, and sync to a single external calendar.
Team sharing
Round Robin shares bookings by availability or evenly — it doesn’t reserve specific staff for specific clients.
Panels
The more people required, the fewer times everyone’s free at once — and members on a booked panel can’t be swapped after the fact.
Paid bookings
A paid service can be edited freely until it’s paid; after payment, big structural changes are locked.
Mobile app
The mobile app can create most bookings, but taking payment on mobile service bookings isn’t supported yet.
